Confirmation of Booking
A 14 day tentative booking may be placed without any obligation from the client. Once the tentative booking period lapses, Shafston Weddings reserves the right to release the tentative reservation and allocate the venue to another person without further notice. A deposit of $500 is required to secure the booking together with completed and signed booking form and terms and conditions of hire.
While all verbal advice is given based upon the best intention and information available, under no circumstances should verbal advice be acted upon or deemed to be final, without written confirmation.
Cancellation made by the client after the confirmation of Booking Form has been signed and a deposit of $500 has been received will be subject to the following: –
For notice of cancellation in writing more than 90 days prior to the date of the wedding – Full refund will apply.
For notice of cancellation in writing within 90 days prior to the date of the wedding – Full deposit will be refunded if Shafston Weddings secures another booking otherwise 50% refund will apply.
For notice of cancellation in writing within 30 days prior to the date of the wedding – No refund will apply.
Payment of Account
Final payment for guaranteed number of guests is required no later than 28 days prior to your event. Payments must be made by bank cheque, cash or credit card. Payments made by credit card will incur a surcharge of 2.65% of the total account.
Prices and Surcharges
All prices quoted are GST inclusive, and are confirmed when deposit is paid. Due to labour costs, events held on public holidays or Sundays attract a surcharge of 15% of the total account.
Conduct of an Event
The Client agrees to begin their ceremony at the scheduled time and agrees to have guests and other persons vacate the ceremony at the time indicated in the final details.
In accordance with Queensland smoking laws, smoking is not permitted inside the function rooms or anywhere that food and beverages are being served. Smoking is only permitted within the designated areas. Shafston House is a non smoking venue.
Should Shafston Weddings deem it necessary for a specific event, security guards may be required at the cost of the client.
Fire safety laws prohibit the use of any heat producing devices, open flames or pyrotechnics.
Terms and Conditions
We have two ceremony packages that can be chosen for your ceremony. The ‘Dream Ceremony’ package is limited to 90 minutes including ceremony and photos. The ‘Fairytale Ceremony Package’ is limited to 2hrs 30 minutes, including ceremony, photos and a cocktail hour (catering and beverages by Cuisine on Cue).
Confetti, glitter, sprinkles or similar items are not permitted. Bubbles or flower petals may be used at the ceremony. Release of doves or butterflies is permitted.
Footwear must be worn at all times at the ceremony unless specific approval is given in writing from the Event Manager.
The ‘Dream Ceremony’ package includes 40 white Americana chairs for your guests during the ceremony. The ‘Fairytale Ceremony Package’ includes 50 white Americana chairs. Both ceremony packages include a signing table and chairs for the Bride and Groom and also up to 4 chairs for musicians. Additional seating incurs a fee.
The venue cannot accept responsibility for damage to or loss of any gifts or possessions before, during or after the ceremony. The hirer will be responsible for any breakage, damage, theft or vandalism to the property of Shafston Weddings during or associated with the ceremony. Damage must be reported to management immediately upon discovery or as soon as practicable thereafter.
In accordance with our liquor licensing responsibilities, we are unable to permit liquor to be brought onto the premises for the ceremony, unless you have booked the ‘Fairytale Ceremony Package’ which includes catering with ‘Cuisine on Cue’.*
Wet Weather Policy
Use of the alternative indoor venue for the ceremony remains at the discretion of the Event Manager taking into consideration the climatic conditions existing prior to or at the scheduled time of the ceremony.
If the riverside is used for ceremony photographs it is the responsibility of the hirer to ensure that children must remain under direct adult supervision and that due care is taken by all guests.
